The challenge
A facilities management group tracked cleaning, maintenance and compliance work across six sites in separate spreadsheets. Monthly client reporting took two people three days, and nobody could see live status.
What we did
- Mapped every existing spreadsheet and report into one relational data model.
- Built role-based access so site managers, regional leads and clients each see only their own scope.
- Integrated the existing scheduling and payroll APIs so job data flows in automatically.
- Added scheduled PDF and CSV reporting to replace the manual monthly pack.
The outcome
- 180 staff now use the platform daily across six sites.
- Monthly client reporting went from three days of manual work to an automated send.
- Compliance evidence is attached to jobs at source instead of chased afterwards.
